Freelance Online Events Coordinator

Job Title: Online Events Coordinator (Freelance, 12 month Fixed-Term Contract, Entry-level)

Role Overview
The BIT Collective is looking for a motivated, organised individual to support the delivery of our online events programme. This is an ideal first role for someone looking to gain experience in Scotland’s arts or music sectors. You’ll be mentored by experienced producers and board members, with space to grow your skills in event delivery, digital communications, and community building.
You don’t need lots of experience – we’re looking for someone reliable, enthusiastic, and excited about creating inclusive and welcoming online spaces within the folk and traditional arts.
Key Responsibilities
Support the planning and delivery of 3–4 online events throughout the year.
Help liaise with speakers, guests, and participants via email and video call.
Assist with setting up Zoom/online platforms for events (training provided).
Collect and share basic post-event feedback.
Attend online team check-ins (monthly).
Champion values of accessibility, inclusivity, and community care in every event.

Freelance Events Manager

Job Title: Events Manager (Freelance, 12 month Fixed-Term Contract)
Location: Remote, with some travel across Scotland for in-person events
Hours: 3 hours/week (to be confirmed in quarterly work plans)
Pay: £18 per hour

Role Overview:
The BIT Collective is seeking a skilled and proactive Events Manager to lead and coordinate our events programme for 2025–2026, including panels, the BIT on Tour initiative, and monthly community meet-ups. You’ll work with a small team of freelancers and board members to plan, organise, and deliver inclusive, impactful events that champion our mission: fostering equity, diversity, and community in Scotland’s folk and traditional arts.
This role includes collaboration with a wide range of partners and may involve co-delivering events with other organisations. You’ll also work closely with—and mentor—the Online Events Coordinator, offering guidance and sharing experience to ensure our in-person and online programmes are aligned, consistent, and mutually supportive.
We’re particularly keen to hear from candidates with experience in events planning or coordination—this could be in the arts, community, education, activism, or other relevant fields. If you’ve helped organise gatherings, festivals, workshops, or collaborative projects, we’d love to hear from you.
Key Responsibilities:
Plan and deliver four in-person events in various Scottish locations, liaising with venues, artists, and partners to support inclusive conversations and diverse programming.
Coordinate and host monthly community meetups, fostering regular engagement and safe, welcoming spaces.
Lead BIT on Tour delivery, including pop-up activities at festivals and attending sector events to represent and champion our EDI work.
Collaborate with external organisations and partners on the co-delivery of selected events where appropriate.
Support and mentor the Online Events Coordinator, helping align in-person and digital programming and providing developmental support.
Oversee event logistics, including scheduling, managing budgets, liaising with venues and suppliers, and providing on-the-day support.
Ensure all in-person events meet health & safety and safeguarding standards, and comply with relevant risk assessments and accessibility guidelines.
Work within budget constraints, identifying creative, cost-effective solutions and exploring partnerships or in-kind support to maximise resources.
Ensure accessibility and inclusivity are embedded in every stage of planning and delivery.
Collaborate with the board, partners, and freelancers to shape event content that aligns with The BIT Collective’s mission and values.
Gather and report feedback from attendees, partners, and collaborators to help evaluate and improve our programming.
Contribute ideas for future events, ensuring they are responsive to community needs and sector trends.
Work alongside the Marketing & Communications Officer to promote events and reach diverse audiences.
Skills & Attributes:
Experience planning and delivering events—this might be in arts, music, community organising, education, or a related area.
Excellent organisational skills, with the ability to manage multiple tasks and adjust to shifting priorities.
Strong communication and collaboration skills, with confidence in building relationships with a wide range of partners.
Commitment to equity, diversity, inclusion, and community empowerment.
Familiarity with digital tools such as Google Workspace, Discord and video conferencing platforms.
Awareness of health & safety and safeguarding responsibilities relevant to event delivery.
Ability to work within budget constraints and seek creative solutions to reduce costs.
Willingness to travel within Scotland for in-person events (travel expenses will be covered).
An understanding of the traditional music sector would be beneficial.

Role Overview:
Join The BIT Collective as a freelance Administrator, supporting our mission to promote equality and inclusivity in Scotland’s folk and traditional music sector. This is a flexible role that fits around your schedule while giving you experience working in an arts-focused, collaborative environment. You’ll handle a range of essential admin tasks, helping keep everything running smoothly behind the scenes.
Key Responsibilities:
General Administrative Support
Manage basic administrative tasks: answering emails, scheduling meetings, taking minutes, and updating shared documents.
Help process invoices and keep financial records tidy.
Ensure all documentation related to events, mentoring, and activities is well-organised and easily accessible.
Support the team in preparing and delivering events, including liaising with venues and handling logistics.
Attend to various administrative duties as required, ensuring the smooth day-to-day operations of The BIT Collective.
Provide light project support to other members of the team where needed, such as sharing updates or coordinating small tasks.
Task Coordination and Reporting
Collaborate with team members to support the planning and timely completion of tasks related to events, initiatives, and ongoing work.
Assist the Board by maintaining clear records of budgets, expenses, and financial details, ensuring all budget proposals are submitted in advance for approval.
Ensure assigned tasks contribute meaningfully to The Bit Collective’s strategic goals, and provide regular, concise updates on progress and outcomes.
Training Coordination
Source, book, and liaise with external training providers as directed by the Board to support the development of the organisation, volunteers, and the wider community.
Coordinate the delivery of internal training sessions by scheduling, securing necessary resources, and working with trainers to ensure smooth implementation.
Ensure all training initiatives reflect The BIT Collective’s commitment to building an inclusive, capable, and engaged community.
Research and Sector Awareness
Conduct regular desk-based research to stay informed about developments in the folk and traditional music sector, as well as broader cultural, social, and policy trends.
Monitor news, events, and initiatives relevant to equality, diversity, and inclusion within Scotland’s music and arts communities.
Share key findings with the Board and wider team to support informed decision-making, inspire new initiatives, and ensure The Bit Collective remains connected, relevant, and responsive to the needs of the sector.
Other Relevant Tasks
Carry out any other relevant tasks that arise, in discussion and agreement with the Board, that support the overall operations and strategic goals of The BIT Collective.

The mission of the BIT Collective is to catalyse progressive and intersectional structural change in the Scottish Folk and Traditional Music community. The objective of BIT Collective is to support, platform and advocate for projects by women, non-binary, and trans musicians, or by their clear allies.
Focusing on the Folk and Traditional music scene in Scotland, the Organisation will:

Role Overview
As a trustee, you will have the opportunity to provide strategic oversight, ensure good governance, and act as a champion for The BIT Collective’s mission. Trustees work collaboratively to guide the organisation's vision, monitor its progress, and uphold its core values.
This is a voluntary role; however, reasonable travel and expenses will be reimbursed.
Responsibilities
Contribute to the strategic leadership and governance of The BIT Collective.
Ensure the organisation operates within its constitution, legal framework, and regulatory obligations.
Safeguard the organisation’s values, mission, and reputation.
Provide oversight of financial sustainability, approving budgets, and monitoring expenditure.
Support and guide the Freelance Coordinator and other contractors, offering mentorship and advocacy.
Attend quarterly board meetings, annual strategy sessions, and occasional project-related events.
Promote equality, inclusion, and best practices in the traditional arts sector.
Key Commitments
Attend at least 75% of board meetings annually (held remotely or in person).
Devote approximately 1–2 hours per month to board responsibilities, with occasional additional time during strategic planning or major events.
Actively participate in sub-committees or working groups where needed.
