The BIT Collective Board of Trustees

Until now, we have been an informal community, gathering to discuss issues of equality in Scotland's traditional music scene. We have now recruited a Board of Trustees althought still have availability for more general trustees to be co-opted throughout the year.

Role Descriptions

Chairperson

The role of the Chairperson is to organise and facilitate all BIT Collective Board meetings, represent The BIT Collective at functions/meetings that the Group has been invited to, and act as a spokesperson for the Group when necessary. More broadly, the Chairperson’s role is to ensure the continuity of The BIT Collective, and delegate tasks to other trustees and staff where necessary.

Treasurer

The Treasurer is responsible for supervising the financial affairs of The BIT Collective; proper accounts that show all monies collected and paid out by the organisation and complying with taxation requirements.

Secretary

The Secretary is responsible for taking and keeping minutes of meetings; preparing the agenda for meetings of the Board and members in consultation with the Chairperson; maintaining the membership list (in collaboration with any relevant employees of The BIT Collective); dealing with correspondence (in collaboration with any relevant employees of the BIT Collective); collecting and circulating any relevant information with the Board, and organising the AGM.

Welfare Officer

The Welfare Officer is responsible for ensuring all activities of The BIT Collective are as accessible as possible, and liaising with members and trustees about any access requirements they may have. The Welfare Officer will be responsible for ensuring that safeguarding policies are enacted, and for monitoring The BIT Collective’s designated confidential inbox for welfare-related issues (alongside relevant members of the Safeguarding team). The Welfare Officer is also responsible for ensuring the presence of at least one person with safeguarding training at all BIT Collective events. The Welfare Officer will be referred to safeguarding training or will have received such training prior to their appointment.

General Trustees

General Trustees are responsible for attending BIT Collective Board meetings, and supporting the general continuity of the organisation. They may agree to certain tasks delegated by other Trustees, contribute ideas and act in place of absent core Trustees.
